Who controls campaign data

For most calling campaigns, our client decides why personal data is used and is the data controller. ContactCentre.ie processes that data on the client's written instructions. The client's own privacy information explains the purpose and legal basis for the campaign. Where you contact us directly about our business, Touch and Connect Ltd is the controller of the details you provide.

What we process

Depending on the campaign, this can include your name, contact details, call outcome, survey answers, donor or customer information, payment instructions and a call recording. We also hold the minimum information needed to run the campaign, complete quality checks, return results to the client and meet legal or contractual duties.

When you email us or use the website form, we process the information and message you choose to send so we can respond. Website-form messages are saved on our website machine and sent to Rickie through Telegram.

Our website keeps its own record of the date, page opened, parts of the Home page reached, important links chosen, whether the contact box was started or completed, the referring page, browser description and a protected one-way visitor mark made from the visitor’s internet address and browser description. This lets us measure every part as a share of the whole website journey without keeping the plain internet address in this long-term record.

Google Analytics and WhoIsVisiting may also process technical information such as the visitor’s internet address, browser and device details, referral address and pages viewed to measure this website. WhoIsVisiting is used to understand which organisations visit and which pages they use. These suppliers process information under their own privacy and security terms.

How information is used and shared

Campaign data is used only to carry out the agreed work, check quality, report results and meet the client's instructions. Completed records, campaign files and reports are returned through a protected file service with a separate password. Information may also be disclosed where the law requires it or to a service provider working under appropriate data-protection terms.

We do not sell campaign data. If information must be processed outside the European Economic Area, this will only be done where a lawful transfer safeguard applies.

Security

Live campaign data and recordings are held on the internal contact-centre server. Remote access is locked down while agents work. Access is limited to people who need it for the campaign. Client files are transferred through a protected file service. We meet the Payment Card Industry security rules, are registered with SecurityMetrics and use security specialists to try to find weaknesses in our systems before criminals do.

How long information is kept

Retention is agreed for each campaign. As a normal operating rule, credit-card campaign records and recordings are kept for six weeks. Upgrade and direct-debit campaign records and recordings are kept for seven years. When the retention period ends, an automated process removes the personal records and recordings after taking the non-identifying totals required for campaign reporting.

Some information may be kept longer where the law, a legal claim or the controller's documented instruction requires it.

Your rights

Data-protection law gives you rights that can include access, correction, erasure, restriction, objection and portability. Some rights apply only in particular circumstances. If your request relates to a client campaign, you can contact the organisation named in the call or confirmation letter. You may also email dpo@contactcentre.ie and we will help route or answer the request.

You can raise a concern with Ireland's Data Protection Commission at www.dataprotection.ie.
